This website collects as little as possible. No analytics, no tracking, no cookies. Below is what we do process, why, and for how long.

Who is responsible

This statement covers this website and our contact with you as a (potential) client. When we process data inside a client's installation as its manager, we act as a processor and the terms of our data processing agreement with that client apply. See also Security.
Which data, why and for how long

| You fill in the contact form or email us | Name, email address, your message, and if you provide them, company name and phone number. We use these to answer your question and plan a call. Legal basis: your request (steps before a contract). We keep it for up to 12 months after our last contact, unless you become a client. To limit spam, we count how often the form is sent from the same IP address. For that we store a hashed version of the IP address, not the address itself, and delete it after one hour. |
| You become a client | Contact details, agreements, quotes and invoices. Needed to perform the contract. Invoices and records are kept for 7 years, as required by Dutch tax law. |
| You visit the website | The web server records technical data such as IP address, browser and time, for security and troubleshooting. Legal basis: legitimate interest. We delete our own copy of these log files after 30 days. Fastcomet also keeps server logs for security under its own retention policy. |
| You use the calculator | Nothing. The calculation runs in your own browser; the numbers are not sent or stored. |
What we don't do
- No analytics or tracking tools, no ad networks
- No cookies, so no cookie banner either
- No social media share buttons or scripts
- No external fonts: the site loads nothing from Google or other parties
- We don't sell your data or use it for other purposes
Who else sees your data
Only parties we need for the website, our email, our own systems and online meetings. We have agreements with them on protecting your data.
- Fastcomet: hosting of this website, data center in Frankfurt (Germany)
- Microsoft 365: receiving and storing email and form messages, stored in the EU/EFTA
- Contabo: server in the EU that runs our own automations (n8n)
- Microsoft Teams and Zoom: online meetings
- Our accountant, only if you become a client
Microsoft and Zoom are US companies. Data that reaches them is transferred under the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
If the law requires us to share data, for example with the tax authorities, we do so.
Your rights
You can access your data, have it corrected or deleted. You can also object to its use, have its use restricted, or request your data in a file.
Email your request to info@spinautomation.nl. We respond within one month. You don't need to send a copy of your ID: we reply to the email address we know you by.
If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority. We'd rather hear it from you first.
Security and changes
The website runs entirely over HTTPS. Only we have access to messages sent through the form.
If anything changes in what we process, we update this statement and the date at the top.
